Communications of the Director of the Doctoral School at Gdańsk University of Technology on doctoral students' rest breaks and dates free from classes for doctoral students can be found under PhD Students -> Formalities -> Regulations  > School Director's Announcements tab. 


A doctoral student is entitled to a maximum of 8 weeks (40 working days) leave (rest breaks) per academic year.

1. Fixed rest breaks - determined by the Doctoral School, which are related to the period of holidays falling during the academic year. Published in the academic calendar of the Doctoral School on the website. 

The fixed dates for fixed rest breaks in AY. 2024/2025 for doctoral students are as follows:

  • from December 23, 2024 to January 2, 2025 (6 working days),
  • from April 18, 2025 to April 22, 2025 (2 working days),
  • from May 1 to 4, 2025 (1 working day),
  • from June 19 to 22, 2025 (1 working day).  

The total dimension of fixed rest breaks in AY. 2024/2025 is 10 working days

Calendar of Doctoral School classes

A doctoral student who wishes to take a fixed rest break does not need to submit any application in the MojaPG system, but they should notify their supervisor of their absence from the university.


In exceptional situations related to the need for a doctoral student to conduct research work at the university during the fixed rest break, it is possible for a doctoral student to make such a request in advance in the Moja PG system via eDocument: PhD student's resignation of fixed rest break / consent to work on public holidays.

In the case of acceptance of such a request by the supervisor before the start of the fixed rest break, it will be possible for the doctoral student to use these days within the floating rest break. 

Note! Acceptance of the application by the supervisor means at the same time that they confirm the possibility of the doctoral student to stay in the designated place at the university on the given date, under the possible supervision of an authorized person if required in accordance with the applicable regulations.


2. Floating rest breaks - determined by the doctoral student in consultation with the supervisor and submitted to the Doctoral School for approval, in accordance with the rules described in the Communication of the Director of the Doctoral School on doctoral students' rest breaks and dates free from classes for doctoral students. 

Note! If a doctoral  student conducts classes with students or is required to participate in them, the dates of rest breaks should be agreed with the head of the relevant organizational unit responsible for the teaching process.

The recommended period for the use of floating rest breaks by doctoral students in AY. 2024/2025 is the period from July 14, 2025, to September 12, 2025, which is an official period free of classes.

In addition to the indicated period, doctoral students may use floating breaks of:

  • doctoral students before the mid-term evaluation - up to 10 working days,
  • doctoral students after the mid-term evaluation - up to 30 working days (provided that the break does not cause a significant disruption of the educational proces).

A doctoral student who wishes to take a floating rest break must always submit an application in the MojaPG system in the Student application: eDocuments: PhD student’s request for a rest break and submit it to the supervisor for approval. All signatures on the application are collected electronically.

The absence of a doctoral student due to illness must be confirmed by a doctor's note (e-sick note).
