Orientation Meetings for newcomers

Information Meeting for 1-st year PhD Students with the school authorities will be held at the beginning of the academic year. Our International Relations Office will also organise Welcome Meeting for all international newcomers, which will be followed by webinars or onsite meeting devoted to issues like legalisation of stay, healthcare system in Poland, etc. Every PhD student from abroad is strongly invited to join these events. We will publish information regarding these meetings on our webpage closer to the beginning of the academic year.

We kindly ask PhD students admitted for AY 2022/2023 to read the For PhD students tab. In individual sub-tabs, we publish important information for PhD students of the Doctoral School at Gdańsk University of Technology on a regular basis.

Start of the academic year and gaining the PhD student's status

 Academic year 2022/2023 starts on October 3, 2022. PhD students from abroad have to arrive at Gdańsk Tech no later than November 31, but if they want to stay in the dormitory until the end of October at the latest.

We would like to remind you that in order to obtain the status of a PhD student, receive  Electronic PhD Student ID Card, receive a scholarship and be registered with the Social Insurance Institution (ZUS), it is necessary to approach matriculation and provide additional documents to establish the right to a scholarship and insurance, as well as the tax residence.

The documents will be accepted in the office upon arrival, and their list and detailed information will be published on our website soon. Additionally, in the case of persons  who:
      a) have only submitted a certificate of defending the thesis - a diploma is required, or
      b) are staying abroad and have presented only scans of  documents on their education abroad - it is required to provide to the Doctoral School Office with the original documents regarding their education abroad with apostille or legalization.

Moja PG system and Student application - activation of an account for PhD student, creating an email address, application for a dormitory

PhD candidates admitted to the Doctoral School at the Gdańsk University of Technology are asked to read the message generated automatically by the eRekrutacja PG system, in which information about the assigned PhD student's ID (registration) number and further proceedings appear. You should receive a welcoming message from the system (it does not apply to candidates who have been admitted contitionally, beacuse they are waiting for their master's thesis defence and thus cannot prove their master's degree).

There is a university website at Gdańsk University of Technology (MojaPG portal) where it is possible to view all your personal details, change your password and submit an application form for an electronic PhD student ID card (ELD). Therefore, online registration through the university website is compulsory. In order to do that you need to activate your student account on the eRecruitment site or the following site: moja.pg.edu.pl and enter the required data, which you were given during the admission procedure, as well as enter your PhD student registration number (see above).

Having activated the account, you will be given a login and password necessary to log on to the university website. The login serves also as a student email address. Any messages from the school office or the university website will be emailed to this address. The address is as follows: login@student.pg.edu.pl, and the access to mail is available through: student.pg.edu.pl. Please memorize the login and password and do not share them with anyone else. We recommend that you use Mozilla Firefox browser.

After you have logged on to the university website for the first time, you should submit an application form for an electronic PhD student ID card (ELD). The application form should be submitted under the application ‘Student‘, tab ‘Documents‘ (‘Dokumenty‘), ‘Submit an application’ (‘Złóż wniosek’) – type of application form ‘ELS/ELD emission’ (‘Wydanie ELS/ELD’). If your personal details in the system are incorrect, or you would like to upload/change your photograph, which will be used on your PhD student ID card, you should select the type of application form: ‘ELS/ELD issue with change of personal details’ (‘Wydanie ELS/ELD ze zmianą danych osobowych’). When giving the reason for changes to the application (step three), please select ‘Make new ID card (ELS/ELD)’ (‘Wydanie nowej legitymacji’). All information concerning changes in the application status is emailed directly to the student’s address, and can be viewed on the website (under ‘Documents‘ ‘Applications’). The PhD student ID card will not be processed until the relevant fee is entered in the system. The fee, payment slip and other information regarding payments are available under the tag ‘Payments’ (‘Płatności’), ‘My invoices’ (‘Moje faktury’). Please download payment slips from the website to avoid potential mistakes concerning personal details in the transfer. Please determine the appropriate method of payment with your coordinator before making the payment. More information at support.pg.edu.pl 

What's more, if you want to be accomodated in our dormitory, you should apply for it in the system as well - choose the application ‘Student‘, tab ‘Scholarships‘ (‘Stypendia‘), ‘Apply for a benefit’ (‘Wnioskuj o świadczenie’). Please remember that the applications are accepted between July 25 and August 5, 2022 only. More information at https://pg.edu.pl/szkola-doktorska/dormitory-no.-12 and in the News section. Should you experience any problems activating your student account and/or using the university website, please refer to the instructions at support.pg.edu.pl or let us know by submitting the form available on the website: cui.pg.edu.pl.

Creating e-mail accounts in "name.surname@pg.edu.pl" format - the format of the email address " name.surname@pg.edu.pl" should be created by yourself by re-activating the account with the existing password used for the account in Moja PG system. 

Important! In the point "Account type" you should check the option "Student account".

Doctoral scholarship

Everyone accepted to the Doctoral School (exept for PhD students holding a doctor's title or receiving remuneration in projects exceeding 150% of regular scholarship) receives a doctoral scholarship for not more than four  years of their education. These doctoral scholarships are exempt from tax, but are subject to pension and retirement contribution. More information on the scholarship, including its amount you can find here. For the purpose of determining the right to insurance, we will accept documents upon arrival at Gdańsk Tech. Information about it will be published  on our website cleser to the start of the academic year. Please be patient.
