How to go? Step by step.

Before you start applying for Erasmus+ internships, make sure that your faculty has specific deadlines for submitting documents. It looks different at different Gdańsk Tech faculties. The entire procedure takes about two months, so it's not worth leaving everything to the last minute. All documents must be completed no later than four weeks before departure.

 

Step I: obtaining approval from the company / institution where you want to do the internship

By using the platforms with Erasmus+ apprenticeship offers or by contacting the institution / company directly, find the apprenticeship offer you are interested in. If a given institution / company is willing to accept you for an internship, ask for an e-mail confirmation.

 

Step II: obtaining consent from the faculty

After obtaining approval from the company / institution, report to the Erasmus+ program coordinator in your department to obtain the approval of the recruitment committee for the trip (the coordinator will tell you how to obtain such consent at your department).

 

Step III: submission of documents to IRO

For min. four weeks before the planned trip, send an e-mail to International Relations Office (IRO) with the scans of the following documents:
1. mission application (signed by the relevant vice-dean at your faculty; the Erasmus+ faculty coordinator will tell you which vice-dean at your faculty must sign the application)
2. the document "Learning Agreement for Traineeships_before mobility section". The document must be signed by you, the Erasmus+ program coordinator at your faculty, the Erasmus+ university coordinator and the host institution / company (when you collect all signatures at Gdańsk Tech, send a scan of the document to the foreign university and ask them to send you the signed scan)
3. the document "Institution Information Form"
4. the document "Student information card"
5. "Green Travel Statement" document (only if you indicated in the "Student Information Card" that you will travel by train/bus or car as part of carpooling)
6. European Health Insurance Card. How to get it? Report to your dean's office with an application for mobility signed by the dean of your faculty. On this basis, you will receive a certificate at the dean's office needed to obtain the card (for the card, you must report to the headquarters of the National Health Fund)
7. insurance policy: the policy must include accident insurance, civil liability insurance, treatment costs, medical transport, and transport of dead bodies. The full scope of the required insurance can be obtained, for example, with an ISIC card
8. confirmation of the travel application in the governmental system of the Ministry of Foreign Affairs called Odyseusz (fill in the application and the confirmation will generate itself)

 

Step IV: signing the contract and payment of the scholarship

After delivering the documents, a IRO employee will check their correctness and if everything is correct, they will prepare a financial agreement for you (you will receive the agreement by e-mail: sign the agreement and send it back by traditional mail or deliver it personally to IRO - it is not possible to send it back by e-mail).

An employee of IRO will inform you by e-mail that your contract has been signed by actual people at the university and thus you have completed the departure procedure and you can leave.

You will receive the scholarship on your account (remember that you will receive 85% of the scholarship before departure, but on condition that you submit all documents at least four weeks before departure. If you submit your documents too late, even if you receive permission to leave, it may happen, that you will receive funds in your account while already abroad).
