Before you start applying for Erasmus+ placements, make sure that your department has specific deadlines for when you can submit your documents. This varies between Gdańsk University of Technology departments. The procedure takes about two months overall, so don't leave everything to the last minute. You must have all the documents completed no later than two weeks before your departure. 


Stage I: getting approval from the company/institution where you wish to have your placements

Use for example the Erasmus+ placement platforms (e.g. erasmusintern.org and others) or contact the institution/company directly to find an internship offer that interests you. Whether you apply for an internship in response to an advertisement found on the internet or after contacting the institution/company directly, you will need written (email) confirmation from the institution/company that they are willing to take you on. 

 

Stage II: obtaining approval from the faculty

Once you have received approval from the company/institution, apply to the Erasmus+ coordinator at your Faculty to get the approval of the Recruitment Committee for the trip (the coordinator will tell you how to arrange for this approval at your Faculty). 

 

Stage III: Submission of documents to International Relations Office

after obtaining the consent of your faculty, but no later than 3 weeks before the planned departure date, submit the following documents to the Department of International Academic Cooperation:
1. Application for mobility (signed by the appropriate dean at your faculty; the Erasmus+ Department Coordinator will tell you which dean at your faculty must sign the application) The document must be signed (in this order) by you, the Erasmus+ coordinator at your department, the university Erasmus+ coordinator and the host institution/company (following the collection of all signatures at Gdańsk University of Technology, send a scan of the document to the university abroad and request them to send you back the scan, once signed) Institution Information Form

5. health insurance: insurance against medical expenses, for instance the European Health Insurance Card (EHIC). How to get it? Apply to your Dean's Office with an application for mobility signed by the Dean of your Faculty. Accordingly, you will receive at the Dean's Office a certificate necessary to obtain the EHIC (you must go to the seat of the National Health Fund to obtain the EHIC)

6. insurance policy: the policy must include personal accident insurance, third party liability insurance, medical expenses, medical transport and transport of the deceased. Full coverage of the required insurance may be obtained, for example, within the Karta EURO<26 or ISIC
7. confirmation of travel registration in the governmental MSZ Odyseusz (fill in the application and the confirmation will be generated automatically) 

Once the documents are submitted to DMWA, a DMWA staff member will review them for accuracy and if everything matchesthe financial agreement between the university and the student and arrange for the student to sign it. Once the agreement is signed, the student will be credited with the funds into their account.
