The Act of July 20, 2018, The Law on Higher Education and Science (Journal of Laws of 2018, item 1668 with amendments, art. 188), requires the entity awarding the degree of doctor to provide the full text of the doctoral dissertation with a summary and reviews in the Bulletin of Public Information (Biuletyn Informacji Publicznej), no later than 30 days before the scheduled date of dissertation defense.
Due to the obligation above, special attention should be paid to the possibility of publishing the doctoral dissertation online, especially when the dissertation is a collection of thematically related and previously published scientific articles. In view of the practice of transferring copyrights to the publisher, the PhD student should ensure that the online publication of his doctoral dissertation does not infringe anyone's rights. The suggested solution is to include in the doctoral dissertation only works published under Creative Commons licenses. If an article has been published under any of the Creative Commons licenses, you can include it in the final published version (Version of Record), but remember that it should contain full bibliographic information with the DOI number (or link) and the license designation.
If in the doctoral dissertation it is planned to include a publication for which the proprietary copyrights have been transferred, it is absolutely necessary to follow the rules specified by their owner - most often the publisher. If there is no clear information provided by the publisher, or there are any doubts about the possibility of adding an article to the doctoral dissertation to be available online, direct permission should be obtained. In order to obtain it, we recommend sending an e-mail to the publisher or, if offered, using a service that facilitates the process of obtaining said permission, e.g. the Copyright Clearance Center's RightsLink®.
When applying for permission, remember to tick the following requirements:
- non-commercial use
- print and electronic format
- publication on the website of the doctoral entity
- international scope
In case of any problems, please contact: open-access@pg.edu.pl.
The guidelines of selected publishers are presented below. The information was prepared on the basis of the publishers' websites and, unless stated otherwise, it is current as of August 2022.
In addition to the rules described, you can also use the provisions regarding the depositing of materials on the employer's websites and institutional repositories - usually publishers give permission to the publication of a post-print version (accepted manuscript) after the embargo period in the above-mentioned places online.
