PROCEDURE FOR OUTGOING PARTICIPANTS

Applications for the PROM Program are submitted online. The online application must include (as .pdf attachments) two additional documents: the supervisor's consent for the trip and the invitation confirmation from the host institution.


How does the application process work?


STEP 1: Obtain consent for the trip from your supervisor. In the case of:

  • staff: this is the direct supervisor
  • PhD students: this is the PhD supervisor
  • students: the relevant dean or vice-dean

A template for such consent is available in the DOCUMENTS REQUIRED WHEN APPLYING tab.


STEP 2: Obtain the invitation confirmation from the host institution. This refers to confirmation of participation in a conference, training, winter school, or permission to conduct classes, etc. You can use the template available in the DOCUMENTS REQUIRED WHEN APPLYING tab, but you may also submit another document confirming the invitation.


STEP 3: Complete the online application form; attach the consent for the trip and the invitation confirmation in .pdf format.

STEP 4: Wait for the application to be reviewed (approximately 2 weeks after the application period ends). The results of the application round will be published on the program’s website and in the NEWS tab of the International Relations Office website. All applicants will also be notified by email about the acceptance/rejection of their application. Applications are reviewed by a special committee appointed for the PROM program.


Application Timeline

Schedule of Call I:

  • January 30 - February 9: Application submission period
  • February 17-18: Application review by the committee
  • By February 19: Announcement of recruitment results

Schedule of Call II:

  • March 5 - March 16: Application submission period
  • March 20-27: Application review by the committee
  • By the end of March: Announcement of recruitment results

In the following steps, the staff member signs a funding agreement and receives the funds for the trip.



PROCEDURE FOR INCOMING PARTICIPANTS

Applications for the PROM program are submitted online. A staff member, PhD student, or student who wants to invite a foreign guest can complete the application. The online application must include (as a .pdf attachment) an additional document: the consent of the unit's manager for the foreign guest's visit.


How does the application process work?


STEP 1: Obtain consent from the head of your unit for the arrival of the foreign staff member/PhD student/student. In the case of:

  • staff: obtain consent from the direct supervisor
  • PhD students: obtain consent from the PhD supervisor
  • students: obtain consent from the relevant dean or vice-dean

STEP 2: Agree on the details of the visit (dates, program, etc.) with the foreign guest you wish to invite to Gdańsk University of Technology.


STEP 3: Complete the online application on behalf of the foreign guest; attach the consent for the guest’s visit from the unit's manager in .pdf format.

In the following steps, a contract is signed between Gdańsk University of Technology and the foreign guest, and the funds are disbursed.
