Departure procedure
Step 1 – submitting the application for substantive and formal review
1. the applicant submits a completed and signed application to the International Relations Office (by sending a scan to dorota.janczak@pg.edu.pl and submitting the original to the office; it is mandatory to file the application in both forms)
2. the International Relations Office has 5 working days to complete the formal review of the application
3. in case the application is rejected, the document is sent back to the applicant for corrections
4. in case the application is accepted, the International Relations Office sends the document to the Board of the relevant Priority Research Area Centre
5. the Board of the relevant Priority Research Area Centre has 20 working days to complete the substantive review of the application
6. when the Board of the relevant Priority Research Area Centre has examined the application, the document is forwarded to the Rector
7. the written decision of the Rector and a document entitled ‘Project accepted for execution’ is forwarded to the applicant in two copies
8. one copy of the document entitled ‘Project accepted for execution’ signed by the applicant and the competent Dean, is submitted by the applicant to the International Relations Office (it needs to be the original)
9. the financial unit at the faculty opens the project in TETA system and the application to open the project is sent to the Project Department of IDUB
Stage 2: submitting the application in Moja PG platform
1. when the project is opened in TETA, the applicant applies for a "Business trip/going abroad" in Moja PG platform
2. when the application is accepted in Moja PG platform by all responsible persons (the procedure differs depending on the faculty), departure formalities are taken care of by the applicant and persons responsible for organizing employees’ trips at a given faculty
During the stay
The participant is obliged to carry out the project in accordance with the accepted application.
Settling the trip
Within 15 working days from the return date, the employee submits a report with a description of the results of the internship and its influence on the fulfillment of the objectives of the Priority Research Area Centre. The report needs to the submitted to the International Relations Office. The Dean of a relevant faculty should first express his/her opinion on the report. A list of incurred costs as compared to the planned costs constitutes a part of the report. The International Relations Office has 5 working days for a formal review of the report and for forwarding the document to the Board of an applicable Priority Research Area Centre.
