Settlement of the Academic Year 2025/2026 – Key Information for Doctoral Students
Doctoral students of the 1st, 2nd, 3rd, and 4th year of the Implementation Doctoral School are required to settle the academic year 2025/2026 in accordance with the reporting schedule.

Settlement is conducted in the Moja PG system via the e-documents functionality. Based on the annual and final reports submitted by doctoral candidates, the Gdańsk Tech Doctoral School of Implementation Office then prepares reports for the Ministry of Science and Higher Education regarding the progress of scientific and implementation work.
Doctoral candidates should adhere to the deadlines specified in the schedule – this will allow for efficient verification of documents by the supervisor, discipline coordinator, and the Doctoral School of Implementation Office.
Settlement of the academic year 2025/2026 – key information for doctoral candidates
Doctoral candidates of the 1st, 2nd, 3rd, and 4th year of the Doctoral School of Implementation are required to settle the academic year 2025/2026 in accordance with the reporting schedule.
The settlement takes place in the Moja PG system, via the e-documents functionality. Based on the annual and final reports submitted by doctoral candidates, the Doctoral School of Implementation Office then prepares reports for the Ministry of Science and Higher Education regarding the progress of scientific and implementation work.
Doctoral candidates should adhere to the deadlines specified in the schedule – this will allow for efficient verification of documents by the supervisor, discipline coordinator, and the Doctoral School of Implementation Office.

Only current document templates should be used for the settlement of the academic year 2025/2026.
Forms and templates from previous years should not be used as they are not appropriate for the current reporting period. Current forms and detailed information are available in the
1st-year doctoral candidates
Until 31 May 2026, it was possible to submit applications for changes in the "Implementation Doctorate" program. The e-document is initiated by the doctoral candidate.
From 22 June to 5 July 2026, doctoral candidates submitted the annual report along with documents concerning research progress and the Individual Research Plan.
Then the documents underwent the following stages:
- from 6 to 12 July – supervisor's approval,
- from 13 to 19 July – discipline coordinator's approval,
- by 31 August – verification by the Doctoral School of Implementation Office.
2nd-year doctoral candidates
Until 31 May 2026, it was possible to submit applications for changes in the "Implementation Doctorate" program.
Between 8 and 21 June 2026, an update of the Individual Research Plan had to be submitted. The document had to include all previously reported changes approved by the Doctoral School of Implementation Directorate. The e-document is initiated by the doctoral candidate.
From 22 June to 5 July the annual report and documents on research progress were submitted.
The subsequent path included:
- 6–12 July – supervisor's approval,
- 13–19 July – discipline coordinator's approval,
- by 31 August – verification by the Doctoral School of Implementation Office.
3rd-year doctoral candidates
The schedule for 3rd-year doctoral candidates was analogous.
Until 31 May 2026, it was possible to submit applications for changes in the "Implementation Doctorate" program.
Between 8 and 21 June, the Individual Research Plan had to be updated, taking into account changes approved by the Doctoral School of Implementation Directorate.
From 22 June to 5 July doctoral candidates submitted the annual report along with documents concerning research progress.
The next steps included:
- 6–12 July – supervisor's approval,
- 13–19 July – discipline coordinator's approval,
- by 31 August – document verification by the Doctoral School of Implementation Office.
4th-year doctoral candidates
4th-year doctoral candidates, in addition to year settlement, should pay particular attention to matters related to the completion of their education.
From 22 June to 5 July 2026, it was possible to submit applications for extension of the study period or the deadline for submitting the doctoral dissertation. Before submitting the application, it is necessary to familiarize yourself with the information available in the Extension of the doctoral dissertation submission deadline section. The e-document is initiated by the doctoral candidate.
At the same time, i.e., from 22 June to 5 July, the annual report along with documentation concerning research progress was submitted.
Then the documents underwent the following stages:
- 6–12 July – supervisor's approval,
- 13–19 July – discipline coordinator's approval,
- by 31 August – verification by the Doctoral School of Implementation Office.
Doctoral candidates completing their education are also required to submit a final report. Detailed rules, required documents, and information related to this stage are available in the Completion of education section.
