During this step, the formal and content-related assessment of applicants' documents is proceeded.

You should not urge the doctoral school office or the admissions committee on the outcome of the evaluation process. You will be advised in due time accordingly if your application is accepted, rejected, or needs to be amended. The applicant is obliged to keep up to date with any e-mails and messages sent to them within the application (admissions / recruitment)  system.

There are three stages of candidate evaluation:

  1. In the first stage, the formal criteria are checked.
  2. In the second stage, candidates are evaluated on two quality criteria - the grade point average obtained during the course of study and their research achievements,
  3. In the third stage, candidates participate in an interview conducted in English, assessing the candidate's knowledge in the subject of the declared dissertation.

At the end of the third stage, a ranking list including all candidates is prepared.

The criteria for formal and content-related evaluation are defined in the admissions resolution.

Detailed description of stages

Stage I: formal evaluation of documents


In the first stage, the formal criteria specified in §3 are verified (scale: fulfills / does not fulfill):

  • candidate's education,
  • confirmation of payment of the application (admission) fee,
  • documents of the prospective supervisor,
  • candidate's documents together with the admissions form generated from the application (admission / recruitment) system.
Stage II: substantive evaluation of documents


In the second stage, candidates are assessed on a point scale in terms of two quality criteria:

  • the average of grades in the course of university studies
    and
  • research achievements.

Grades obtained in the course of higher education - a grade on a scale of 2-5 in accordance with the grading scale used at the university, the weight of the evaluation criterion 40%.

When evaluating this criterion, the following factors are taken into account:

  • weighted average of grades for the first-cycle (bachelor's) studies (40%) and second-cycle (master's) studies (60%),
    or
  • grade point average for long-cycle (uniform master's) studies (100%),
    or
  • grade point average for first-cycle (bachelor's) studies (100%) - in the case of persons referred to in §3(2).

When calculating the grade point average for higher education studies and in the case of candidates who obtained a diploma abroad, Gdańsk University of Technology adopts the grading scale included in Annex No. 5 to the Admission Resolution, and compares it with the grading scale used at the university that issued the foreign diploma.

* If the grading system is credit-based and there is no UK/US/ECTS equivalent, the percentage scale shown in the table is used to convert the average grade from your course of studies into a grading system on a 2-5 scale.


Research achievements, appropriate for individual disciplines - grade on a scale of 2-4,5, weight of the assessment criterion 20%.

Points for achievements are not added up, the candidate obtains one (highest) grade for all achievements in accordance with the list. If a candidate presents more than one achievement for evaluation, points will be awarded for the first achievement on the list / in the attached document / file.

Score for publications and scientific achievements (published or accepted papers count)
exact and natural sciences, and engineering science and technology

a) no publication record – score of 2, or

b) abstract, poster, conference of research clubs / doctoral students – score of 2.5, or

c) monograph (chapter in a monograph), scientific publication in Polish in post-conference materials or in a journal – score of 3, or

d) monograph (chapter in a monograph), scientific publication in English in post-conference materials or in a peer-reviewed journal not included in the JCR list, national patent – score of 3.5, or 

e) scientific publication in English in a JCR-listed journal or in Scopus, regional patent – score of 4, or

f) scientific publication in English in a journal ranked in the 1st or 2nd quartile in the JCR list – score of 4.5, or

g) scientific publication in English in a journal ranked in the 1st or 2nd quartile in the JCR list in which the candidate is the first author – score of 5.

social sciences

a) no publication record – score of 2, or

b) abstract, poster, conference of research clubs / doctoral students – score of 2.5, or  

c) chapter in a monograph in Polish or English (only publications from the list of the ministry responsible for higher education and science, level I) – score of 3, or

d) author's  or  co-author's  monograph  in  Polish  or  English  (only  publications  from  the  list  of  the  ministry responsible for higher education and science, level I) or a chapter in a monograph in Polish or English (only publications  from  the  list of  the  ministry  responsible  for higher  education  and science, level  II)  – score of 3.5, or

e) author's or co-author's monograph in Polish or English (only publications from the list, level II) or a scientific publication  in  English  in  a  journal  from the  JCR/SCOPUS list or a scientific publication in English with minimum 70 points in a journal from the list of the ministry responsible for higher education and science  – score of 4.5, or 

f) scientific publication in English in a journal ranked in the 1st or 2nd quartile in the JCR/SCOPUS list – score of 5.

 After the evaluation of the merits of documents, candidates proceed to the third stage.
