Information for PhD students on our website

We kindly ask those accepted for r. a. 2023/2024 to familiarize themselves with the PhD Students tab. In the various sub-tabs, we keep posting important information, concerning PhD students of the Doctoral School at Gdańsk University of Technology.

Start of the academic year and acquisition of PhD student status

The 2023/2024 academic year began on October 2, 2023. In the case of foreigners, it is allowed to come to Gdańsk Univeristy of Technology until the end of November at the most, unless the candidate has applied for a place in a dormitory, in which case the deadline was shortened to the end of October.

We would like to remind you that in order to obtain the status of a PhD student, receive a PhD student ID card, receive a scholarship and be reported to the ZUS,
it is necessary to approach matriculation (signing the oath deed) and provide additional documents to establish the right to a scholarship and insurance, as well as tax residency. Documents are accepted at the Doctoral School Office, and a list and detailed information can be found in the article: Documents to be filled in by candidates accepted for the first year.

In addition, in the case of those who:

a) presented only a defense certificate - required to provide a diploma by the deadline of October 30,

or

b) were abroad during the recruitment process and presented only scans of their documents (in the recruitment system), certifying their education abroad -
it is required to provide to the Doctoral School Office for inspection the original documents of their education abroad with the required legalization/apostille (some of them are still in verification at NAWA).

MojaPG system and Student application - activation of doctoral account, creation of email address

Account in Moja PG - people admitted to the Doctoral School at Gdansk University of Technology during the export of their data from the recruitment system to the Moja PG system received an automatic message , in which information about the assigned PhD student's album number and further proceedings appeared. The welcome message was sent to all accepted candidates, except for those accepted conditionally (before defense).

Please note that at Gdansk University of Technology there is a university portal Moja PG, where it is possible to view all your personal data, grades, make password changes and apply for an electronic PhD student card (ELD), so registration in the portal is mandatory.

Therefore, those who have not yet done so, please activate your account from the eRekrutacje level or on the moja.pg.edu.pl website, providing data for account activation consistent with the data provided during recruitment and the assigned album number. Once the account is activated, the PhD student will be assigned a login, which is necessary to log in to the portal.

The recommended browser to use the portal is Mozilla Firefox.

After logging into the University Portal for the first time, please verify the accuracy of your personal information and submit an application for the issuance of an electronic PhD student card (ELD). The application should be submitted in the Student application under the "Documents" tab using the "Submit Application" option. If the personal information in the system is correct, select the application type "Issue ELS/ELD". If, on the other hand, the personal information is incorrect, please select the application type "Issuance of ELS/ELD with change of personal information". In the reason for application (step 3), please select "Issuance of new ID card". When submitting the application, please attach a photo. The photo should be in .jpg format and should meet the same requirements as a photo for an ID card.

All information about changes in the status of applications comes in the mail and is visible in the portal (tab "Submissions"). The issuance of a PhD student ID card is associated with the payment of a fee - the amount, invoice and other payment information are made available in the "Payments" tab, "My invoices" option. The payment must be credited to an individual and unique, specially generated bank account number. Once the application is submitted, an invoice will be generated. The invoice number (without additional data, such as name or album number) must be included in the title of the transfer. The PhD student ID card will not be transferred for production until the amount due is credited to the system! For their own convenience, PhD students can use ePayments, which are posted immediately.

NOTE: Those who continue their studies at Gdansk University of Technology and who have an ELD issued by Gdańsk University of Technology do not need to apply for an ELD. They are entitled to the previously issued ELD by Gdańsk Tech. For more information, pleas
